1. Who We Are
DKWeston LLC is a limited liability company registered in the United States. We operate a rental key desk from a residential porch in Spanish Fork and we provide computer integrated systems design and related professional services for small rental owners, storage operators and property holders. Our work covers lease signings, key tag issue, move-out walks, deposit return cycles, storage unit rentals and parking stall assignments.
For the purposes of this policy, DKWeston LLC is the controller of the personal information described here. The developer and desk maintainer known as DKWeston handles day to day records and technical maintenance. Together, the company and the developer make sure that personal files are kept in one place, that access is limited and that requests from tenants and owners are answered within reasonable time.
Our postal address is 63 N 1700 E, Spanish Fork - 84660-5788, United States (US). Our general contact email is leasing@dkweston.lol and our telephone number is +17432393895. You can use any of these channels for privacy questions, and we will route your message to the person responsible for the relevant file.
2. Scope of This Policy
This policy applies to personal information that we handle when you use this website, send us a message, call the desk, sign a lease at the porch, receive a key tag, complete a move-out walk, rent a storage unit or accept a parking stall assignment. It also applies to information that owners share with us about their properties and tenants in the course of a service engagement.
This policy does not apply to third party websites that we link to, to software that an owner chooses to run independently of us, or to information that a tenant shares directly with an owner outside our desk. Where a tenant or owner relationship is governed by a separate lease or written agreement, that agreement may add obligations that sit alongside this policy. If there is a direct conflict between this policy and a signed agreement about a specific record, the signed agreement controls for that record.
We do not knowingly collect information from anyone under the age of eighteen for independent services. A lease may name a minor as an occupant, in which case the responsible adult signs the paperwork and provides the information on the minor behalf.
3. Information We Collect
We collect only what a desk needs to run a clean handover. The categories below describe the information that may appear in our files. Not every category applies to every person, and we do not collect a category simply because it is available.
Identity and contact details
This includes your name, postal address, email address, telephone number, emergency contact and, where a lease or key receipt requires verification, the type of identity document presented at the desk. We record the document type and the check performed, not a copy of the document, unless a signed agreement asks for a copy.
Rental and key records
This includes the unit mark, key tag number, hook rail position, key receipt date, replacement history, storage unit number, parking stall number and the dates on which keys were issued or returned. These records are linked to a lease file and are kept together so that a question about a key can be answered from a single place.
Walk and deposit notes
This includes the written move-out walk sheet, condition notes, photographs taken during the walk, deposit calculations, itemised deductions, letters sent to tenants and correspondence about a disputed line. Photographs are taken of the property and its fixtures, not of people, and we avoid capturing personal belongings where it is practical to do so.
Messages and enquiries
When you use the contact form or email us, we receive the name, email address, subject and message that you provide. We keep a copy of the correspondence so that we can follow up, confirm an appointment or answer a later question about the same matter.
Technical information
Our website is a small static site. The hosting provider may record standard server logs such as the requested page, the date and time, the referring page, the browser type and a shortened network address. We do not run advertising trackers, we do not build behavioural profiles and we do not combine server logs with rental files.
Owner portfolio details
If you are an owner or property manager, we may hold the property address, unit count, lease terms, maintenance contacts, access notes and the instructions you give us for a particular property. We use these details only to carry out the service you asked for.
4. How We Collect Information
Most information arrives directly from you. You give it to us when you complete a contact form, send an email, call the desk, attend a signing appointment, collect a key tag, complete a move-out walk or reserve a storage unit or parking stall. You may also give us information about another person, such as a co-tenant or an emergency contact, and in that case you confirm that you have permission to share it.
Some information is created by the desk during a service. A key receipt, a walk note, a deposit line or a stall assignment is generated by our own work and then attached to your file. Photographs taken during a walk are created in the same way.
A small amount of technical information is generated automatically when a browser requests a page from our hosting provider. We do not use that information to identify individual visitors, and we do not attempt to link it to a rental file.
We may receive information from an owner who engages us for a property, for example a list of units, lease dates or contact details for a tenant who will attend a signing. We ask owners to share only what the service requires.
5. Why We Use Information
We use personal information for a short list of practical purposes. Each purpose is tied to a service that you or an owner has asked for, and we do not repurpose a file for unrelated marketing.
- To prepare and complete a lease signing, including confirming the pack, booking a table and recording the signatures.
- To issue, replace and reconcile key tags and to keep the hook rail accurate.
- To conduct a move-out walk with the tenant present and to record the condition of the property.
- To calculate, explain and close a deposit return cycle.
- To lease storage units and to keep access notes current.
- To assign parking stalls and to answer later questions about a stall.
- To reply to enquiries, confirm appointments and send service updates.
- To keep accounting, tax and business records as required by law.
- To maintain the security and reliability of the website and the desk systems.
- To resolve complaints, disputes and correction requests.
We do not sell personal information. We do not rent contact lists. We do not send promotional email to tenants who have only signed a lease, and we do not add a tenant address to a marketing tool.
6. Legal Bases for Processing
Where privacy law requires a legal basis, we rely on the following. First, we process information to perform a contract or to take steps before entering a contract, which covers lease signings, key issue, storage rentals and stall assignments. Second, we process information to comply with legal obligations, which covers accounting, tax and record retention rules. Third, we process information for our legitimate interests in running a reliable, secure and well documented desk, provided those interests do not override your rights. Fourth, we rely on your consent where we ask for it, for example if you agree to receive a service reminder by email.
Where you have given consent, you can withdraw it at any time by writing to leasing@dkweston.lol. Withdrawal does not affect work already completed, and it does not remove a record that we must keep by law.
7. Rental Desk and Key Records
A rental desk is only useful if its records can be trusted. For that reason, we keep a single unit file that links the lease, the key tag, the walk sheet and the deposit lines together. Access to that file is limited to DKWeston LLC desk staff, the developer DKWeston for technical maintenance, and the owner of the property or an authorised manager.
Key tags carry a unit mark and a short colour code. We do not print a tenant name on the outside of a tag, because a lost tag should not reveal who lives where. The mapping between a tag and a person lives only in the unit file.
The hook rail is photographed at the end of each issue run. The photograph is filed with the day sheet and is stored in a restricted folder. Photographs of the rail show tags and positions, not people.
Storage unit records follow the same pattern. A unit file holds the agreement, the unit tag, the access notes and a simple occupancy history. Parking stall records hold the stall number, the unit mark, the assignment date and any reassignment note. Guest logs are kept short, reviewed monthly and cleared at the end of each quarter.
10. How Long We Keep Information
We keep records for as long as a service needs them and for the period required by accounting, tax and contract rules. The periods below describe our normal practice. A specific matter may need a longer period if a dispute is open or if a law requires it.
- Lease files and key receipts are kept for the term of the lease plus the record retention period required for tax and accounting.
- Walk sheets and deposit records are kept with the lease file so that a later question can be answered from one source.
- Contact form messages and general correspondence are kept for as long as needed to resolve the enquiry, then reviewed and cleared.
- Storage unit files and parking stall records are kept while the arrangement is active and for the following retention period.
- Website server logs are kept by the hosting provider for a short operational window and are not combined with rental files.
- Rail photographs and day sheets are kept with the corresponding unit file and follow the same retention period.
When a retention period ends, we delete the file or remove the personal details from it. Deletion is done in a way that cannot be reversed through normal office tools, and backups expire on their own schedule.
11. How We Protect Information
We use a small set of practical controls rather than a long list of promises. Paper files sit in a locked cabinet at the porch. Digital files sit in restricted folders with named access. The desk computer is protected by a login and is kept current with security updates. Backups are kept for the same restricted group.
Emails that contain a signed lease or a walk sheet are sent through the desk account, not through a personal mailbox. Where an owner needs a larger set of documents, we share a restricted folder rather than attaching many files to one message.
No system is perfect. If you suspect that a message from us is not genuine, call the desk at +17432393895 before you open an attachment. We will confirm whether the message came from us and will explain what to do next.
12. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights. We honour these rights for everyone who contacts us, because a desk that explains its records is a better desk.
- The right to know what personal information we hold about you and why we hold it.
- The right to receive a copy of the information in a readable format.
- The right to correct information that is wrong or out of date.
- The right to ask us to delete information that we no longer need and are not required to keep.
- The right to restrict or object to certain uses, such as a reminder email.
- The right to withdraw consent where consent is the basis for a use.
- The right not to be treated unfairly for exercising a privacy right.
We do not sell personal information, so there is no sale to opt out of. We do not use sensitive information for decisions that produce legal effects, and we do not profile tenants for advertising.
13. Access and Correction Requests
To make a request, write to leasing@dkweston.lol with the subject line Privacy Request, or call +17432393895. Tell us your name, the unit or property the request relates to, and what you would like us to do. If we cannot identify you from the request, we may ask for one or two details to confirm that you are the person concerned.
We aim to acknowledge a request within five business days and to complete it within thirty days. If a request is complex, we will explain the reason for a longer period and keep you informed. There is no fee for a normal request. If a request is clearly unreasonable or repetitive, we may explain why and offer a practical alternative.
Some records cannot be deleted on request. A signed lease, a key receipt or a deposit record may need to be retained for a legal or accounting period. Where that is the case, we will explain which record is retained, why it is retained and when it will be reviewed. We will still correct errors and restrict access where the law allows.
14. Privacy for Children
Our services are intended for adults who can enter a lease or authorise a service. We do not knowingly collect personal information from a child under the age of thirteen through this website. If a child sends us a message, we will delete it when we become aware of it and will explain the deletion to the parent or guardian.
A lease may list a minor as an occupant. In that case the responsible adult provides the information and signs the paperwork. We keep only the details that a lease needs, such as a name and a date of birth where a lease requires it, and we do not use those details for any other purpose.
If you believe that a child has sent personal information to us, contact leasing@dkweston.lol and we will act promptly.
15. Third Party Websites and Links
This website may link to a map service, a payment provider or a software tool that an owner uses. Those services are run by other organisations and have their own privacy policies. We do not control what they collect, and a link from us is not an endorsement of their practices.
We encourage you to read the privacy notice of any service before you enter personal details. If you reach a third party page from a link on this site and you are unsure whether it is genuine, return to this site and contact the desk directly.
16. Automated Decisions and Profiling
We do not make decisions about a tenancy, a deposit or a key issue by automated means alone. A deposit line is based on a walk sheet that a person prepares with the tenant present. A parking stall assignment is made from the stall board by a person. A storage rental is reviewed by a person before the agreement is prepared.
Our website script may sort or reveal content as you scroll, but that behaviour does not evaluate you and does not produce a decision about you. We do not use scoring models, and we do not use personal data to train a model for the desk.
17. International Visitors
DKWeston LLC operates in the United States, and our files are held in the United States. If you contact us from another country, your information will be transferred to and processed in the United States, where privacy law may differ from the law in your country.
We take steps to protect information during a transfer, and we limit the transfer to what a service requires. If you have a question about a transfer, write to leasing@dkweston.lol and we will explain the route that the information takes.
18. Data Breach Response
If we become aware of a breach that affects personal information, we will act quickly to contain it, assess the risk and restore the affected service. The desk will record what happened, which files were involved and what steps were taken.
Where the law requires notification, we will inform the affected people and the relevant authority without undue delay. Our notice will describe the nature of the incident, the likely consequences and the steps you can take to reduce risk. We will not wait for a perfect account before telling you that a problem exists.
After an incident, we review the cause and change the practice that allowed it. Recent improvements include narrower folder permissions, a shorter retention window for day sheets that are no longer needed and a clearer rule about which files may leave the porch.
19. Changes to This Policy
We may update this policy when our services change or when the law requires it. When we make a material change, we will update the date at the top of the page and post a short note on the homepage. If a change affects a signed agreement, we will explain how it applies before it takes effect.
The version on this page is the current version. Earlier versions are kept with the desk records so that a question about an older arrangement can be answered accurately. You are welcome to ask for the version that applied on the date you signed a lease.
